Part-time Administrative Assistant (10-15 hours a week)

Kid CenterEd was born out of a desire to serve the whole child with an integrated team and a holistic approach. While each of our practitioners has many years of experience with other practices and on their own, we’ve come together to provide a broader base of support for students and their families to better help them navigate both private and public educational systems right up through college and adulthood.

Job Overview: 

As an administrative assistant at Kid CenterED, you’ll play a pivotal role in ensuring the smooth functioning of administrative operations. You’ll provide essential support to our team of neuropsychologists, special educators, and educational advocates. You will be 

the first point of contact for potential clients and patients and must explain all our services and model. 

Responsibilities: 

● New client inquiries and intakes: schedule and conduct new clients and patients across all areas of the center. Take potential client and patient background information, follow up through email with intake information, and explain the Kid CenterED model and services. 

● Neuropsychological and Education Evaluations Patient Scheduling: Coordinate and manage patient appointments through Simple Practice. 

● Medical Records Management: Maintain accurate and updated electronic medical records (EMR), ensuring confidentiality and compliance with privacy regulations. 

● Evaluation Billing: Assist in billing for evaluations and address patient queries regarding billing and insurance. No experience with medical billing required and you are not responsible for interfacing with insurance companies. 

● Answer phone calls, voicemails, and email inquiries about the Kid CenterED services. 

● Facilitate communication between staff and clients.

● Data Entry and Documentation: Input patient information, including insurance information, accurately into databases and maintain detailed and organized documentation. 

● Maintain a master client database. 

● Email and phone clients for records and information. 

● Support the team in special projects or research activities. 

● Work closely with other staff to maintain a cohesive and efficient office environment. 

● Attend in-person monthly staff meetings at our center in Concord, MA. 

Requirements: 

● Understanding of special education, disabilities, and education.

● Proven experience as an administrative assistant, preferably in a healthcare or clinical setting. 

● Proficiency in office software (Google) and familiarity with Simple Practice, a plus. 

● Excellent communication skills, both verbal and written. 

● Strong organizational and multitasking abilities with acute attention to detail.

● Ability to maintain confidentiality and adhere to ethical standards in handling sensitive information. 

● A high school diploma is required; additional certifications in healthcare administration, education, or related fields are advantageous.
